
EBCC 6 Media Guidelines
ECCO - the European CanCer Organisation, welcomes the interest of the media in cancer issues and is happy to provide full assistance to journalists attending EBCC-6, the European Breast Cancer Conference, offering this conference website as a resource in their coverage of cancer issues.
Registration
EBCC 6 is open to bona fide representatives of print and electronic media and healthcare media. Registration is free of charge to journalists who are in possession of a valid, recognised press card. Freelance journalists must present a commissioning letter on headed paper from a recognised news organisation or publication.
A copy of the Press Card or of the commissioning letter should be sent, together with the media registration form.

The original of the Press card or of the commissioning letter will also have to be presented at the conference registration desk together with a valid passport or ID-card.
Journalists must register in person. Applications for media registration made via pharmaceutical, marketing or public relations companies will not be considered.
Media registration in advance is highly recommended.
Embargoes
Important note for journalists
Abstracts will be made available at the beginning of the conference to enable journalists to prepare stories for publication. All abstracts are STRICTLY embargoed for the date and time of presentation, unless otherwise agreed with the press officers. Embargo dates and times will be given on all the corresponding news releases. Embargo-breaking will result in the withdrawal of media facilities to the publications concerned during and after the conference.
Official media materials will be made available to registered journalists only.
Media Restrictions
Representatives of marketing, advertising, public relations, or pharmaceutical companies are not permitted to register as journalists and are not permitted at any time in the Press Room; nor are they permitted to attend the EBCC-6 news conferences. The exception to this rule is where an official press briefing pertains to a product of a company. In this instance, one representative only from that company will be admitted to the news conference, but they will not be permitted to ask questions or to comment, or engage in any discussion arising from the briefing. Representatives of not-for-profit organisations (such as charities, government organisations and NGOs) are not permitted in the Press Room, but one from each organisation is permitted to attend the news conferences, as long as they do not ask questions, comment or engage in discussion arising from the briefing.
ECCO reserves the right to bar, or eject, from any meeting (and future meetings) any person who provides false information regarding their affiliation or who deliberately promotes the view of any one company / organisation / product, or who engages in promotional discussions within the official press areas.
Third party / Press events
Companies wishing to organise a news conference during the conference should send a request in writing to the Conference Secretariat. It is not permitted to schedule press events to coincide with official news conferences.The news conference must pertain to presentations being made at the conference in oral or poster sessions. The programme for any third party news conference should be submitted to and agreed by the EBCC-6 media consultants before any invitations are sent out.
Third party press releases related to scientific presentations at the conference must be embargoed until the time and date of the presentation at the conference. They must be labelled clearly with the abstract number, date and embargo, and submitted to and agreed by the EBCC-6 media consultants before they are sent out.
Third party press materials are not permitted inside either the official Press Room or the official news conference room. A table or stand close to the official Press Room will be made available for companies to display a limited amount of such materials. No posters or banners from companies are permitted on or around the table or stand.
Third party media materials must not the contain ECCO or EBCC logos and must not be presented in any way that could be construed as suggesting endorsement by ECCO or EBCC.
ECCO does not make media lists available to third party organisations.
Filming / Interviewing
Filming and recording of the conference sessions is not allowed without the prior permission from the conference secretariat.
Interview rooms may be booked to carry out film or radio interviews, or to have privacy when interviewing. These rooms must be booked prior to use using forms available from Press Room staff.
