Media Policy 

 

 

ECCO-The European Cancer Organisation welcomes the interest of the press in breast cancer issues and is happy to provide full assistance to journalists attending the EBCC-7 European Breast Cancer Conference or using the congress website as a resource in their coverage of breast cancer issues.

 

Registration

 

EBCC-7 is open to bona fide representatives of print and electronic media.  Registration is free of charge to journalists who are in possession of a valid, recognised press card.  Freelance journalists must present a commissioning letter on headed paper from a recognised news organisation or publication.

 

A copy of the Press Card or of the commissioning letter should be sent, together with the media registration form, to: Riitta Kettunen, email: riitta.kettunen<at>ecco-org.eu* (with scanned documents) or by fax to +32 (0)2 775 02 00.

The original of the Press card or of the commissioning letter will also have to be presented at the conference registration desk together with a valid passport or ID-card.

 

Journalists must register in person. Applications for media registration made via pharmaceutical, marketing or public relations companies will not be considered.

 

Media registration in advance is strongly recommended.

 

Embargoes

 

Please respect embargo times and dates on news stories. News releases from presentations at the congress are embargoed until the date and time of the presentation or the official EBCC-7 news conference at which they are covered, whichever is earlier. Embargo dates and times are given on the news releases.

 

Embargoes for abstracts lift at the time of presentation to the meeting unless otherwise stated.   Abstracts selected for news release, or those containing sensitive data, will only be made available on the morning of the day they are to be presented.

 

If results are reported prior to embargo date and time, the abstract may be removed from the scientific programme.  Congress facilities will be withdrawn from journalists involved in embargo-breaking.

 

Official media materials will be made available to registered journalists only.

 

Media Restrictions

 

Representatives of marketing, advertising, public relations, or pharmaceutical companies are not permitted to register as journalists and are not permitted at any time in the Press Room; nor are they permitted to attend the EBCC-7 news conferences. The exception to this rule is where an official press briefing pertains to a product of a company.  In this instance, one representative only from that company will be admitted to the news conference, but they will not be permitted to ask questions or to comment, or engage in any discussion arising from the briefing. Representatives of not-for-profit organisations (such as charities, government organisations and NGOs) are not permitted in the Press Room, but one from each organisation is permitted to attend the news conferences, as long as they do not ask questions, comment or engage in discussion arising from the briefing.

 

ECCO reserves the right to bar, or eject, from any meeting (and future meetings) any person who provides false information regarding their affiliation or who deliberately promotes the view of any one company/ organisation/ product, or who engages in promotional discussions within the official press areas.

 

Media event blackout times

 

The media event “blackout” times are:

 

Wednesday 24 March: 13.00 – 18.45 hrs
Thursday 25 March:  09.30 – 14.30 hrs  
Friday 26 March:   09.30 – 14.30 hrs
Saturday 27 March: 10.30 – 13.30 hrs

 

Organisations may not hold media events, either on or off site, during the defined “blackout” times.  Failure to comply may result in the withdrawal of facilities.

 

Events for the media (including news briefings and media workshops) must pertain to presentations being made at the main conference in oral or poster sessions and not at satellite symposia alone.  The programme for any third party news conference/workshop should be submitted to and agreed by the EBCC-7 media consultants before any invitations are sent out.

 

Third party press events

 

Companies wishing to organise a news conference during the conference should send a request in writing to the Conference Secretariat.  It is not permitted to schedule press events, either on or off site, to coincide with official news conferences or with key conference sessions (see above for list of black-out times). All press releases and news conferences must pertain to presentations being made at the main conference in oral or poster sessions and not at satellite symposia alone.This applies to any media event, regardless of whether it is held on or off site. The programme for any third party news conference should be submitted to and agreed by the EBCC-7 media consultants before any invitations are sent out.

 

Third party press releases related to scientific presentations at the conference must be embargoed until the time and date of the presentation at the conference, unless otherwise agreed by the congress media consultants. They must be labelled clearly with the abstract number, date and embargo, and submitted to and agreed by the EBCC-7 media consultants before distribution.

 

Third party press materials are not permitted inside either the official Press Room or the official news conference room.  A table or stand close to the official Press Room will be made available for companies to display a limited amount of such approved materials.  No posters or banners from companies are permitted on or around the table or stand.

 

Third party media materials must not contain the EBCC-7 logo and must not be presented in any way that could be construed as suggesting endorsement by ECCO, Europa Donna, EORTC, EUSOMA or EBCC-7.

 

ECCO does not make media lists available to third party organisations.

 

Filming / interviewing          

 

Filming and recording of the conference sessions is not allowed without prior permission. Please approach the media consultants with any request to film or record sessions.

 

Interview rooms may be booked to carry out film or radio interviews, or to have privacy when interviewing.  These rooms must be booked prior to use by contacting the EBCC-7 media consultants.
